The Quick Way to Do It

Some email apps and email services don’t have a dedicated Save as PDF button. Instead, you can create a PDF from the email using the Print menu by right-clicking with your mouse.

  1. Open the email you want to save.
  2. Click or tap Print.
  3. Under Printer or Destination, select Save as PDF.
  4. Choose where you want to save the file.
  5. Enter a file name.
  6. Click or tap Save.

On Windows, the printer option is often Microsoft Print to PDF. On a Mac, you’ll usually see a PDF button or Save as PDF in the print menu.

Before saving, review the print preview to make sure it includes everything you need, such as the contents of the email, the sender, recipient, date, and attachments (if shown), and the full conversation thread if you need it.

Why Save Emails?

Saving an email as a PDF creates a permanent copy that you can organize, share, or print whenever you need it. Unlike emails stored in your inbox, PDF files are easy to rename, move into folders, back up, and access without searching through your email account.

You may want to save an email as a PDF to keep receipts and proof of payment, save instructions or confirmations, or store contracts or agreements. Saving an email as a PDF also lets you share the email with someone.

Another benefit is that PDFs preserve the email’s formatting, making them easier to read and less likely to change formatting than content copied into a document.

FAQs

1. How do I save an email as a document?

Open the email and select Print. Then choose Save as PDF, select a folder, and save the message as a document on your device.

The best way depends on why you need the email. For important records you may need to share or keep outside your inbox, save the message as a PDF and store it in a clearly named folder. For everyday organization, use folders, labels, archives, and search tools in your email account.

PDF is a good format for emails because it is widely used, easy to open, and keeps a stable layout. If you need to keep the email’s original message data, you may also want to save it in an email format such as EML or MSG, depending on your email app.

Create folders or labels based on the way you work, such as clients, projects, invoices, receipts, or years. Use a consistent naming system, archive messages once you have handled them, and save only the most important messages as PDFs.

Open the email in the Mail app, tap the reply or share icon, and choose Print. Expand the preview with two fingers, tap the share icon, then select Save to Files and choose where to store the PDF.
